Welfare management software vs Excel: when to switch

Spreadsheets are a fine place to start. These are the signs you have outgrown them, and how to move to a welfare management system without losing anything.

By the Jalika team

Most welfares start with an exercise book, then a spreadsheet. That is sensible: they are free and familiar. But as membership grows, the spreadsheet starts costing the treasurer evenings and the welfare trust.

Signs you have outgrown the spreadsheet

  • The treasurer spends hours each month matching M-Pesa messages to names
  • Members regularly ask “have I paid?” and the answer takes a while to find
  • There are several versions of the register on different officials’ phones
  • An eligibility question comes up during a bereavement and nobody is sure of the answer
  • Handing over to a new treasurer means handing over a file only the old treasurer understands
  • The AGM report takes days to prepare

What a welfare management system adds

Task Spreadsheet Welfare management system
Recording M-Pesa payments Typed in by hand Matched to the member automatically
Receipts Usually none Sent by SMS for every payment
Member statements On request, by the treasurer Members check their own, any time
Eligibility for a claim Worked out at the time Checked against your rules automatically
Levy call-outs WhatsApp message, then manual tracking SMS to every member, payments tracked live
Approvals Verbal or WhatsApp Recorded, with who approved and when
Audit trail Edits leave no trace Every change recorded
AGM report Days of work Generated from the records

What to look for in welfare software

  • Built for welfare rules: dependants, waiting periods, levies and bereavement claims, not just savings
  • M-Pesa paybill integration with automatic receipts
  • Role-based access for chair, secretary, treasurer and auditor
  • A member portal so members can see their own statements
  • Data protection: secure hosting, backups and an audit trail. See our data protection guide
  • Local support, training and pricing in Kenya shillings

How to switch without losing anything

  1. Clean the spreadsheet: one row per member, with member number, name, ID, phone and joining date.
  2. List dependants for each member, with relationship.
  3. Agree opening balances: what each member has paid and owes as of the switch date.
  4. Write down your rules from the constitution: contributions, benefits, waiting periods, arrears.
  5. Import and check: load the data, then ask a few members to confirm their statements.
  6. Tell members the new paybill account format and how to view their statement.
