Treasurer's guide to the welfare AGM financial report

A clear annual report is the best way to keep members' trust. Here is what to include and a simple layout you can follow.

By the Jalika team

At the annual general meeting, members want to know three things: how much came in, where it went and what is left. A short, clear report answers those questions and builds the trust that keeps a welfare together.

What to include

1. Summary

Three numbers at the top, before any detail:

  • Fund balance at the start of the year
  • Fund balance at the end of the year
  • The change, and the main reason for it

2. Income

Income KES
Monthly contributions
Bereavement levies
Registration fees
Fines and penalties
Interest or investment income
Total income

3. Expenditure

Expenditure KES
Bereavement benefits paid (number of claims)
Other benefits paid
Bank and M-Pesa charges
Meeting and administration costs
Total expenditure

4. Benefits paid

List each claim: date, relationship (member, spouse, child, parent), amount and approval date. You can leave out names if members prefer, but numbers and dates should be clear.

5. Contributions and arrears

  • Number of members at the start and end of the year
  • How many are fully paid up, and how many are in arrears
  • Total arrears owed to the welfare

6. Where the money is held

Bank balance, paybill balance and any cash, matching the fund balance in section 1. Attach or show the bank statement for the last month of the year.

7. Review or audit

Who reviewed the accounts and what they found. Even an informal review by two members not on the committee adds confidence.

Tips for a report members trust

  • Use the same layout every year so members can compare.
  • Reconcile first: the paybill statement, bank statement and records should agree. See how to reconcile M-Pesa contributions.
  • Share it before the meeting so members can read it in advance.
  • Explain anything unusual, such as a year with many claims, in one or two sentences.

Produce it in one click

If every contribution and benefit is already recorded, the report almost writes itself. Jalika’s welfare financial reports produce the income and expenditure, benefits paid, arrears and fund balance for any period, ready to print for the AGM.

Put these rules into practice

Jalika keeps your register, contributions, levies and claims in one place, and applies your constitution's rules automatically.
